What is a stock ledger?

A stock ledger is the complete, ordered record of every stock movement, from which current inventory quantities are calculated.

Ledger and balance

A stock ledger lists every movement in the order it happened. The current quantity in each location is the sum of those movements.

Many systems also keep a balance table for fast lookups. The ledger remains the source of truth, and the balance can always be rebuilt from it.

Worked example

In this example, a cycle count finds 86 units of item F-110 where the system expects 88. The ledger shows 100 received on 3 March, 12 picked on 5 March and nothing since.

The counter checks the next location along and finds 2 units that were put away one slot off. A transfer fixes the records without any write-off.

How Waresify handles it

In Waresify, every stock change writes an immutable movement, and the current stock balance is updated in the same database transaction. Current stock can always be derived from the movement history.

Rows are never edited or deleted. Overrides by authorised users are logged with the user, the time and a reason.

Questions

Is the WMS stock ledger the same as the accounting ledger?

No. The WMS ledger tracks quantities and locations. The ERP tracks value. Waresify sends movement events to the ERP so its records follow the warehouse.

Can a ledger row be changed after it is written?

Not in Waresify. Mistakes are corrected by a new adjustment movement, so the original record and the correction both stay visible.
