What is an advance ship notice (ASN)?

An advance ship notice (ASN) is a message a supplier sends before delivery, listing what is on the truck, how it is packed and which labels to expect.

What an ASN adds to receiving

A purchase order says what you ordered. An ASN says what the supplier sent, often down to the pallet labels and lot numbers.

With an ASN loaded in advance, receivers scan labels to confirm instead of counting every carton, and missing or extra pallets show up straight away.

Worked example

In this example, an ASN lists 6 pallets with their LP barcodes and 240 cases across 3 items. The receiver scans the 6 labels.

Only 5 pallets are on the truck. The system flags the missing LP as a discrepancy before the driver leaves.

How Waresify handles it

ASN processing is a module on the Professional and Enterprise plans. ASNs can come from the ERP, from the supplier by EDI, or be entered by a supervisor.

Waresify builds LP records from the manifest so receiving becomes scan to confirm. The ASN supplements the purchase order and never blocks receiving. If no ASN arrives, standard receiving runs.

Questions

Is an ASN the same as a delivery note?

They carry similar content. A delivery note travels on paper with the goods. An ASN arrives electronically before the truck.

What if a supplier never sends ASNs?

You receive against the purchase order as usual. ASNs speed up receiving for the suppliers who send them.
